Job Overview
We are seeking an Operations Supervisor to join our team in Alexandria, VA. The Operations Supervisor will oversee our scanning operations (robotic scanning in the future). This position will be an essential leader within our team by managing the Document Control Specialists to ensure productivity and compliance.
Responsibilities
- Ensure security of confidential documentation by following company security protocol
- Assign daily work assignments to Document Control Specialists as required to support production goals and balance workflow queues.
- Work alongside Project Managers to highlight and rectify issues with customer accounts when they occur. Escalate larger issues to the Operations and Project Manager and when necessary.
- Verify employees are following Customer Specific Instructions or Standard Operating Procedures (SOPs) for assigned tasks and at the quality expected for the project.
- Have a thorough understanding of all aspects of scanning operations – be the subject matter expert.
- Ability to answer questions and provide guidance in unstructured or ambiguous situations.
- Contribute to continuous improvement initiatives and be able to help implement and sustain change management.
- Ensure a clean and safe working environment is maintained at all times.
- Maintain employee records and perform check-ins with direct reports at regular intervals.
- Assist with the interview process and hiring of employees.
- Assist the Operations and Project Manager in analyzing and understanding the reasons behind success and failure in meeting departmental goals.
- Performs related duties similar to the above in scope and function as required by the Operations and Project Manager.
Skills
- Four years of professional experience
- Two years of management experience
- Leadership skills, comfortable with change, and the ability to lead change
- Excellent communication skills (both in written and verbal form)
- Good problem-solving skills with minimal supervision
- Ability to maintain composure under high stress situations
- Must be organized, able to multitask, and have attention to detail
- Have the aptitude and enjoy coaching and mentoring others to succeed
- Ability to work in close proximity to others and equipment
- Ability to lift/pull/push 40 lb. with the help of hand truck or dolly
- Must be willing to work overtime or weekends when necessary
- Must have current IRS and CJIS clearances (or have already started the IRS clearance process)
- US Citizenship or Permanent Residency
Bonus Points
- Bachelor’s degree from an accredited four-year college or university
- Operational Planning/Shift Scheduling Experience
- Intermediate experience with Microsoft Word and Excel
- Experience working in a BPO environment
- Forklift Certification
